Confidential Printing, NDAs & Secure Document Handling

Your confidential documents deserve more than ordinary printing.

When you send us a passport, legal document, business proposal, contract, new product design or other sensitive material to Print In London you need to know who can access it, what happens to the file after printing and whether it is shared with anyone else.

We understand that printing can sometimes involve highly confidential information.

That’s why we treat sensitive printing differently.

Whether you’re an individual customer printing private documents or a corporate client working on confidential contracts, proposals, designs or plans we can work with your requirements.

NDA & Confidential Printing London

We Work With NDAs

For highly confidential corporate and commercial projects, we’re happy to work under a Non-Disclosure Agreement (NDA).

We regularly work with businesses that need confidential materials printed, including contracts, proposals, plans, 3d Prototypes and other commercially sensitive documents.

If you have your own NDA simply let us know before sending the files.

Our legal team can review and process the agreement before we receive the confidential material.

You don’t have to send us the sensitive files first and ask about an NDA afterwards.

If your company’s policy requires an NDA to be signed before we receive the artwork or documents, we can accommodate that process.

What Happens to My Confidential Files?

When you send us a file for printing, it is processed through our designated business email and printing system.

We use the file for the purpose for which you supplied it: to produce your printing order.

We don’t use your documents for unrelated purposes.

We don’t share your files with third parties for marketing, samples or other purposes.

Access to customer files is limited to the members of our production team who need to handle the file to complete the printing.

Who Can See My Documents?

We have a small, qualified production team responsible for handling customer files.

Only the people who need to access a file for production can access it.

Your confidential document isn’t made available to the wider team simply because it has been uploaded to our system.

For particularly sensitive projects, we can also discuss additional access arrangements, including a designated account manager for the job.

This means you can have a specific point of contact throughout the project.

Can You Delete My File After Printing?

If you want your files permanently deleted after your order has been completed, simply tell us.

We can delete the relevant files from our system.

We don’t automatically delete every individual email immediately because we process a large volume of orders but customer requested deletion can be arranged.

If your organisation has a specific file retention requirement, tell us at the beginning of the project so we can agree the appropriate process.

Can I Keep the Files Completely Off Your System?

For particularly sensitive projects, there is another option.

If you already have a secure cloud storage system, you can provide access to the required files through your own system.

Once the printing has been completed you can remove the files from your own cloud environment.

This can be useful when your organisation has strict internal policies about where confidential files are stored.

If you have specific requirements, talk to us before sending the files and we’ll work out the most suitable approach.

Do You Share Customer Files With Third Parties?

Your files are supplied to us so that we can complete your printing order.

We don’t send customer documents to third parties for marketing, portfolio samples or promotional purposes.

Where a delivery is required, we provide the courier with the information necessary to complete the delivery.

The courier does not need access to the contents of your printed documents.

Do You Keep Samples of Confidential Printing?

Some printers keep examples of customer work so they can show future customers what they’ve produced.

We don’t use confidential customer work that way.

We don’t keep samples of your sensitive printing for our portfolio or marketing.

If there are leftover materials or production waste from a confidential job, these aren’t retained as customer samples.

Your confidential project remains your confidential project.

Do You Use Customer Work for Marketing?

We don’t use your confidential artwork, photographs, documents or designs as marketing material without your permission.

We don’t take your corporate designs and display them as examples for other customers.

We understand that a new proposal, product design, campaign or corporate document may contain information you simply don’t want anyone else seeing.

That’s particularly important when we’re working with corporate clients.

What about Copyright and Trademarks?

Confidentiality and intellectual property are closely connected.

When customers ask us to print branded materials, particularly garments, promotional products or corporate artwork we may need to establish that they have the appropriate authority to reproduce the trademark, logo or copyrighted material.

For example, if you’re asking us to reproduce a company’s logo on T-shirts, mugs or other products, we may ask for confirmation that you have permission to use it.

Where written authorisation is required our legal team can review the documentation.

We don’t knowingly print material where the customer doesn’t have the necessary rights or authorisation.

This protects both the customer and us.

Confidential Printing for Corporate Clients

We work with businesses that need confidential material printed for a variety of situations.

This can include:

  • Contracts
  • Business proposals
  • Tender documents
  • New product plans
  • Corporate presentations
  • Confidential reports
  • Internal documents
  • Legal documents
  • Private event materials
  • Product launches
  • Branded merchandise
  • Confidential designs
  • Marketing campaigns

If the material is commercially sensitive tell us before sending it.

We can discuss your requirements and agree the appropriate confidentiality arrangements.

Confidential Printing for Individuals

Confidential printing isn’t only relevant to large companies.

Individuals also regularly send us sensitive documents for printing.

For example:

  • Passports
  • Marriage certificates
  • Legal documents
  • Personal records
  • Private correspondence
  • Application documents
  • Financial paperwork
  • Immigration documents
  • Personal photographs

We understand that you may not want these documents circulating or being retained unnecessarily.

Our production team handles them only for the purpose of completing your printing order.

If you want the files deleted afterwards, simply request deletion.

Secure File Submission

We have designated business email addresses for customers to send their artwork and documents.

If you’re sending particularly sensitive information, we recommend discussing your requirements with us before sending the file.

For corporate customers with their own secure file-sharing or cloud-storage systems, we’re also able to work with your preferred process where practical.

The important thing is that you remain in control of how your sensitive information is supplied to us.

Secure Payments

Our online payment options use established payment providers, including PayPal and Stripe, together with major debit and credit card payment systems.

Payment information is handled through the relevant payment provider rather than being used by our production team to process your printing.

This allows the people producing your order to focus on the printing without needing access to unnecessary payment information.

What about Delivery of Confidential Documents?

If your confidential printing needs to be delivered, we can arrange delivery through our delivery team or established courier services.

We provide the information needed to complete the delivery, such as the delivery address and tracking information.

For many courier services, tracking information is protected through delivery verification measures such as a postcode, PIN or other confirmation.

If your order is particularly sensitive, tell us when placing the order and we can discuss the most suitable collection or delivery arrangement.

Can I Have One Person Handle My Confidential Project?

Yes.

For highly sensitive corporate work, you can request a designated account manager.

This gives you a single point of contact rather than having to explain the project repeatedly to different people.

Where appropriate, we can also limit production access to the team members who need to handle the job.

For particularly sensitive projects, it’s worth discussing your requirements with us before sending the files.

What If My Company Has Its Own Security Requirements?

That’s common with corporate customers.

Your organisation may have specific requirements relating to:

  • NDAs
  • File retention
  • File deletion
  • Confidentiality
  • Access control
  • Secure file transfer
  • Intellectual property
  • Trademark permissions
  • Delivery
  • Designated contacts

Tell us what your requirements are.

We’ll work through them with you rather than asking you to change your internal process simply to place a printing order.

We Don’t Send Unwanted Marketing Emails

We don’t automatically add customers to a marketing mailing list simply because they’ve placed an order.

We may occasionally send a simple reminder to a previous customer who ordered a particular product around the same time the following year.

The purpose is to be useful rather than bombard customers with promotional emails.

For example, if a business printed promotional materials with us last year, a reminder may help them remember to reorder before their next campaign.

We don’t want your inbox filled with repetitive marketing messages just because you once placed a printing order.

Confidential Printing When You Need It Most

Confidentiality can become particularly important when you’re working against a deadline.

You might have:

  • A contract that needs printing today
  • A proposal for an important meeting
  • A confidential presentation
  • A new product design
  • A legal document
  • Private personal documents
  • Corporate materials for an upcoming event

In these situations, you need a printer who understands that the contents of the file matter just as much as the finished product.

That’s why we can work with NDAs, restricted access, customer-requested deletion and designated account management where required.

How to Request Confidential Printing

If your project is confidential, tell us at the beginning.

You can say:

“This is a confidential project and we’d like an NDA before sending the files.”

Or:

“Please delete our files after the order has been printed.”

Or:

“Only one designated person should handle this project.”

We’ll then discuss the appropriate process with you.

For corporate projects, we can work with your NDA and confidentiality requirements before receiving the sensitive files.

Your Files Are Yours

We understand an important distinction:

Your artwork, photographs, corporate documents, designs and other supplied material remain yours.

We use what you send us to fulfil your printing requirements.

We don’t use confidential customer work as examples, samples or marketing material.

And if you require your files to be deleted after the job, you can request that too.
